What is a Project?

Per definition, a Project is a temporary endeavor undertaken to create a unique product, service or result. Managing a Project involves application of knowledge, skills, tools and techniques to project activities to meet the project requirements.


What is Constrained Optimization?

Constrained optimization is an optimization problem where some (or all) variables are constrained. Within Project Management space, optimization means creating a plan that has the best possible use of your project’s limited resources.

Now, most projects (especially medium and large projects) have multiple stakeholders, and (without having a sliver of doubt) those stakeholders always have their own biases and their own priorities - which may or may not be conflicting with other stakeholders (seldom non-conflicting). So how do business leaders and project managers in general deal with such conflicting priorities?

Taking a step back

Regularly take a step back and reflect on the project as a whole. This will help you identify any potential conflicts before they occur and make adjustments as needed. Be open to changing the project plan if necessary. Sometimes, new information or unexpected events may require you to adjust the priorities of the project.

Creating a prioritization matrix

Sometimes, trade-offs may be necessary to balance competing priorities. Be prepared to make sacrifices in one area in order to achieve a higher priority goal. Create a list of all the tasks that need to be completed and prioritize them based on their importance and urgency. Create a matrix that helps you evaluate and prioritize tasks based on their importance and urgency. This will help you focus on the most important tasks first and make sure that nothing is overlooked.

Use Project Management tools and techniques for managing conflicting Project demands

Project management tools such as Gantt charts and Kanban boards can help you visualize the project, track progress, and manage conflicting priorities. You could also use time management techniques such as the Pomodoro Technique to ensure that you are focusing on the most important tasks during your working hours.

Communicating honestly and promptly

Clear communication with all stakeholders is crucial for managing conflicting priorities. Keep all stakeholders informed of conflicting priorities and work with them to find a solution that is mutually beneficial. Keep everyone informed about the progress of the project and any changes in priorities. Share the reasoning behind a certain decision or priority shift. This helps team members to understand the reasoning and align with the changes.
